A complete document management system comprises six elements: 

Storage
The storage system provides long-term and reliable storage for documents. A good storage system will accommodate changing documents, growing volumes and advancing technology. Normally the storage in ERPWEB is two fold all indexed data is stored in database system and multimedia files linked to this index is stored in file system system.

Indexing
The index system creates an organized document filing system and makes future retrieval simple and efficient. A good indexing system will make existing procedures and systems more effective. The documents in ERPWEB are managed as Index Register with 15 pages linked to one page of this register. You can directly jump to the page of that register and then to that document. You can then do various things to this documents like Add, Edit, Delete, Print, Approve, OnHold, OffHold, Reject.

Retrieval
The retrieval system uses information about the documents, including index and text, to find images stored in the system. A good retrieval system will make finding the right documents fast and easy. Every ERPWEB document index or register has built in search engine which helps you to search documents based on matching values for that field. 

Access
Document viewing should be readily available to those who need it, with the flexibility to control access to system. A good access system will make documents viewable to everyone, whether in the office, at different locations, or over the internet. Ideally speaking all documents should be access from single universal system independent client window user interface. Only Internet Browsers like MS IE & Netscape Navigator are such access systems which is used as universal document viewer across the world on almost all the platforms. ERPWEB Documents can be accessed in Microsoft Internet Explorer 5.0 & above.

Security
Every document required security. A good system will define who can access the document for what purpose. For each activity like Add, Edit, Print, On/Off Hold, Approve or Rejecting a document a signature should be required. In ERPWEB you can define which document can be accessed for what purpose. Whenever an user wants to Add, Edit, Print etc. the user has to sign the document. The accessing and singing procedures here refer to giving secret codes or password to system which provides safety to document management system.
